Following Up When Your Proposal Contact Is Out of Office

By Antony Draper · Published 8 November 2026 · For B2B agency, consultancy and specialist-service owners

An out-of-office reply explains absence, not buying intent. Adjust your timing and use the named cover only for the purpose the message authorises.

Understand the situation before responding

Read the whole automatic reply, including return date and any routing instructions. A general cover contact may handle urgent service issues without authority to discuss a new purchase. Check whether your proposal has a genuine external deadline or whether the urgency is entirely your own. Avoid treating an automated response as evidence that the buyer has reviewed the document. Do not add an unfamiliar colleague to a confidential proposal thread without checking permission.

An example message to adapt

Hi [Name], I saw you are away until [date], so I will leave the proposal review until you return. If the project timing has changed, we can adjust the next step then. I have noted [specific item] is still needed from our side and will prepare that before we reconnect.

Illustrative teaching example. Replace the prompts with buyer-confirmed facts; this is not a client conversation, claimed result or message to send automatically.

Prepare a useful next action

Move your reminder to a reasonable point after the return date, allowing for the contact to catch up. If there is a real deadline and the automatic reply names an appropriate substitute, make a concise factual inquiry about who can coordinate the decision. Share only what is necessary and permitted. Explain the source of the deadline rather than using vague urgency. Keep the original contact informed where the relationship and confidentiality permit.

Record the decision and its limits

Record absence separately from rejection or an approval delay. If the return date passes without a reply, return to the agreed buying process rather than assuming the person intentionally avoided you. Where ongoing absence means there is no project owner, ask how ownership will be handled. Keep a supplier-side reminder distinct from a date on which the organisation has committed to decide.
