A Proposal Stalled by Cash Flow: Discuss Feasible Options
By Antony Draper · Published 8 November 2026 · For B2B agency, consultancy and specialist-service owners
Cash-flow timing and total affordability are different concerns. Clarify which applies before discussing staged work or payment arrangements.
Understand the situation before responding
Use what the buyer volunteers rather than requesting unnecessary private financial details. Ask whether the project is affordable overall but difficult to fund at the proposed times, or whether the total investment exceeds the available budget. A payment schedule can change timing; it cannot make an unaffordable or unprofitable project sound. Check your own delivery costs and normal payment requirements before suggesting flexibility.
An example message to adapt
Is the concern the total investment, or when payments would fall? If timing is the issue, we can examine whether a smaller first phase or a different milestone schedule is workable. I would need to confirm the scope and commercial terms before offering either option, so neither of us relies on an assumption.
Illustrative teaching example. Replace the prompts with buyer-confirmed facts; this is not a client conversation, claimed result or message to send automatically.
Prepare a useful next action
If a phased option is feasible, specify what each phase achieves, costs and depends on. Make clear whether later phases are optional or require a separate agreement. If discussing payment milestones, connect them to clear contractual events rather than vague progress. Consider delivery exposure, cash requirements and credit processes through your normal commercial review. Do not promise finance, waive deposits or recommend borrowing as a quick objection-handling device.
Record the decision and its limits
Choose between the original arrangement, a genuinely workable alternative or a pause. Confirm revised terms in writing through the appropriate agreement process. If the buyer cannot commit to a feasible minimum, explain the mismatch respectfully. A delayed project may be preferable to work that creates financial strain or payment disputes for either business. Record only commitments the buyer actually accepts.
